Some venues give an event a room. The Loveland Living Planet Aquarium gives it a story.

We recently had the pleasure of working with the Salt Lake Chamber for its Annual Meeting at the Mountain America Event Center, the aquarium’s newer event space, and the day reminded us why live events still matter so much. The setting was memorable, the program had heart, and the people made the work a joy from start to finish.

We love this Chamber. Every person we meet through their team seems to become an instant friend, and we are excited for what we hope is a long-lasting relationship. Their Annual Meeting brought together recognition, connection, and a strong visual theme, all inside a venue that already has a sense of wonder built into the walls.

And yes, the 30,000-gallon shark tank inside the ballroom deserves its own moment. For a luncheon meeting, it is hard to beat that view.

A venue that brings built-in impact

The Mountain America Event Center at Loveland Living Planet Aquarium is not a typical ballroom. It has scale, technology, and a visual anchor that guests remember as soon as they walk in.

For the Salt Lake Chamber Annual Meeting, the space offered a strong foundation before any production elements were added. The main ballroom features 20 projectors, giving organizers a rare level of flexibility for visual content. That matters for a program with award moments, video packages, walk-on songs, and a room full of guests who all need to feel connected to the stage.

The capacity also makes the space useful for large gatherings. The venue can host up to a 1,900-person reception or an 800-person banquet dinner or luncheon, which places it in a strong category for major association events, civic gatherings, galas, and company-wide programs.

The room also includes technical features that help the production team do cleaner work:

  • LED accent downlighting throughout the ballroom and prefunction space

  • Built-in speakers for clear sound coverage

  • A large main ballroom with flexible visual options

  • A prefunction area that supports arrival, networking, and flow

  • The aquarium environment itself, including that incredible shark tank

For this Loveland Living Planet Aquarium Luncheon Meeting, the setting did more than hold the event. It helped shape the experience.

A good venue supports the agenda. A great venue adds energy before the program even begins.

Building a stage that could carry the room

Large rooms demand intentional staging. If the stage is too small, the program can feel distant. If it is too low, presenters can disappear into the room. If the background lacks depth, even a strong program can look flat.

For the Salt Lake Chamber Annual Meeting, we provided our 32-foot by 12-foot executive stage set at 24 inches high. That height helped the presenters stay visible throughout the ballroom while keeping the stage approachable for an awards-focused luncheon.

Our on site technicians provided technical support for several types of moments throughout the program:

  • Leadership remarks

  • Award presentations

  • Video transitions

  • Walk-on music

  • IMAG camera coverage

  • Scenic design tied to the event theme

To complete the set, we added our lucite lectern, white velour drape, Elation uplights, and our brand new Elation stage wash. The result was clean, bright, and polished without fighting the natural personality of the aquarium.

The lucite lectern kept the stage look light and open. The white velour drape gave the background texture and softness. The uplights added dimension, while the Elation stage wash helped keep presenters properly lit for both the room and the camera.

That last part matters. A stage can look beautiful in person but fall short on camera if the lighting is uneven. Since this program included live image magnification, the stage had to work both for guests in the ballroom and for the projected camera feed.

Scenic design with a lighthouse theme

The Chamber’s theme centered on the idea of a lighthouse and beacon, which gave the room a clear creative direction. It is the kind of theme that can easily become too literal or too subtle, so the balance mattered.

We collaborated with Modern Expo on a scenic piece that brought the concept to life in a way that felt beautiful in the room. The design included a freestanding lighthouse and a fabric backdrop that tied the stage into the larger theme.

The lighthouse gave the event an immediate visual symbol. It helped frame the awards, remarks, and recognition moments around a bigger idea: guidance, visibility, and community leadership.

We also added a moving light head that spread a spotlight throughout the room, creating the feeling of a real lighthouse beam. That motion gave the room life. It connected the theme to the guests rather than keeping it only on stage.

This is where production becomes more than equipment. A moving light is not meaningful on its own. A scenic element is not meaningful just because it is large. The value comes from how those pieces support the reason people gathered.

In this case, the lighthouse concept worked because it matched the tone of the event. The Annual Meeting was not only about looking back. It was about recognizing people and organizations that help guide the business community forward.

The room reflected that idea.

The technical backbone behind the program

A smooth event depends on what guests notice and what they never have to think about. Clear sound, clean video, confident transitions, and properly timed music all make a program feel effortless.

Behind the scenes, our team brought the technical support needed to keep the Annual Meeting moving smoothly. The setup included a Roland switcher, an Allen & Heath mixer, four ULXD wireless combo mics, and a Panasonic PTZ camera for IMAG presentation.

That camera support was especially helpful in a large room. IMAG, or image magnification, helps guests see facial expressions, award moments, and speaker details from anywhere in the space. In a ballroom with banquet seating, this can change the whole feel of the program.

Guests do not want to feel like they are watching from the back row. IMAG brings the presenter closer, even when the room is full.

The audio package also supported the needs of the program. Wireless combo mics gave flexibility for different presenters and award moments. The Allen & Heath mixer helped manage clarity and balance across speech, music, and video playback. The Roland switcher kept visual transitions clean throughout the event.

This was true Custom Stage, Corporate Meeting, Live Production, Video Recording work, with every piece tied to the larger experience rather than treated as a separate technical task.

When all of those details work together, the program feels seamless.

Award moments that felt personal

Award programs can move fast. One name follows another. One video follows another. Without thoughtful pacing, the recognition can start to feel routine.

The Salt Lake Chamber Annual Meeting avoided that. Each award winner had a moment.

We coordinated walk-on songs for each award recipient, which added energy and personality as honorees made their way to the stage. Music can do a lot in a room. It gives each transition a little lift. It signals celebration. It helps the audience respond.

We also managed countless videos created to congratulate each person. Those videos added warmth and context, helping the room understand not just who was being recognized, but why their work mattered.

For a production team, that means details. The timing has to be right. The video playback has to match the script. The walk-on music cannot come in too early or too late. Mics need to be ready. Stage lighting needs to be consistent. Camera framing needs to be clean.

When done well, guests do not see the cue sheet. They feel the rhythm.

That rhythm mattered here because the program was rooted in gratitude. The Chamber created a space where award winners were not just announced, they were celebrated.

The shark tank made the luncheon unforgettable

There are many ways to create a memorable event design. You can build scenic pieces, add lighting effects, use video, and shape the stage environment. All of those details mattered for this event.

Still, the 30,000-gallon shark tank is impossible to ignore.

Having that feature inside a ballroom for a luncheon meeting gave guests a visual experience they could not get in a standard venue. It created conversation before the program started and gave the room a sense of awe that supported the entire event.

The best venues make people look up from their phones. This one does that naturally.

The shark tank also worked well with the production design. The lighthouse and beacon theme played beautifully against the aquarium environment. The room carried a feeling of light, water, movement, and discovery. Nothing felt forced because the venue and theme fit so naturally together.

That kind of alignment is hard to manufacture. When the venue, scenic design, lighting, audio, video, and program all support the same story, the result feels complete.

Why this Annual Meeting worked so well

The success of the Salt Lake Chamber Annual Meeting came from several pieces working together.

The Chamber brought the people, purpose, and warmth. The Loveland Living Planet Aquarium brought a memorable setting. Modern Expo helped shape a scenic concept that fit the theme. Our team supported the room with staging, lighting, audio, video, camera work, and show flow.

Each element had a job.

The stage helped presenters stay visible.

The lighting made the room feel polished and connected to the theme.

The audio kept voices clear.

The camera feed brought guests closer to the action.

The videos and music gave award winners personal moments.

The scenic lighthouse gave the whole event a visual heart.

The shark tank gave everyone something to talk about.

That is what live production should do. It should support the message without distracting from it. It should make the important moments easier to see, hear, and feel.

For this event, the details added up to a polished Annual Meeting with personality. It felt professional, but not cold. It felt large, but still personal. It honored the award winners while giving guests a memorable experience inside one of Utah’s most unique event spaces.

We are grateful to the Salt Lake Chamber for trusting us with such an important gathering. Working with their team was a true pleasure, and we are already looking forward to the next opportunity to create something special together.

A beautiful venue can set the stage, but people make the event. This Annual Meeting had both.
